Position Title: Donor Relations & Events Coordinator

Status: Non-Exempt (Part-Time up to 30 hours per week)

Hourly Rate: $25.65 to $30.78 commensurate with experience

Position Summary

The Donor Relations & Events Coordinator will assist the Public Affairs/Development Department with fundraising and events goals through donor relations, donor database management, and event planning and implementation.

 

Role’s Responsibilities

Donor Relations

• Assist with cultivation and stewardship of donors to strengthen relationships

• Respond to donor inquiries, requests, and provide guidance on donation processes

• Contribute to outreach efforts and fundraising campaigns, including Family Friends donor circle, End-of-Year appeal, and special initiatives

• Conduct research to identify new potential donors, including individuals, foundations, and corporations

• Coordinate donor outreach through multiple channels, including email and postal mailings

Donor Database Management

• Accurately input and manage donor data, including processing, recording, and acknowledging all pledges and gifts

• Maintain and update donor records using CRM software (Blackbaud/Raiser’s Edge)

• Generate reports and donor lists to track progress toward annual goals

• Ensure data accuracy, organization, and compliance with privacy policies

• Provide accurate coding of donations to the finance department

Event Planning & Support

• Assist with planning and execution of events, including signature annual events such as the Harold Peterson Memorial Golf Classic, A Taste of Rockland, and Step Up for The Arc Rockland

• Support outreach to attendees, sponsors, and vendors

• Input registrations, donations, and sponsorships into Raiser’s Edge and generate status reports

• Coordinate with vendors, venues, committee members, and volunteers

• Assist with solicitation and coordination of auction items and in-kind donations

• Contribute to post-event analysis and documentation for future improvements

Purchase Orders & Requisition Processing

• Process department purchase orders and requisitions, ensuring accurate documentation

• Coordinate approval workflows and budget tracking

• Communicate with vendors and finance team as needed

• Organize financial records for reporting and auditing purposes

Meetings & Collaboration

• Prepare for and participate in regularly scheduled check-ins and event/project-specific meetings as directed by the Chief Development Officer

• Participate in meetings regarding The Arc Foundation of Rockland and agency activities as requested

Additional Duties

• Perform other related duties as assigned

• During busy periods, such as leading up to major events, additional work hours may be required

 

Requirements

Education & Credentials

• Associate’s degree in Communications, Business Administration, Humanities, Marketing, or related field are preferred.

• Five (5) years of relevant experience in lieu of a degree may be considered

Experience

• Minimum of two (2) years of administrative, organizational, or database management work, preferably in the non-profit sector

Knowledge, Skills, & Abilities (KSAs)

• Excellent oral and written communication skills with proficiency in English

• Ability to multi-task and manage time effectively

• Ability to work independently and collaboratively within a team

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) or Google Workspace (Docs, Sheets, Slides, Forms, Gmail)

• Proficiency with CRM/Donor Database platforms, such as Blackbaud/Raiser’s Edge or Salesforce

• Ability to sit for long periods of time in front of a computer with visual and auditory acuity required

• Must be able to speak clearly and distinctly to interact with donors, Board members, vendors, partners, and families when necessary
